1. Who we are
This policy applies to Ingham Drilling Pty Ltd ATF The Norman Bliesner Family Trust (ABN 29 034 841 036 · ACN 083 107 108), trading as Ingham Drilling (“we”, “us”, “our”). We drill water, monitoring and exploration bores in Queensland and prepare Pre-Purchase Bore Reports.
We respect your privacy. As a small business, we are not required to comply with the Privacy Act 1988 (Cth). We have adopted this policy voluntarily, and we follow the Australian Privacy Principles (APPs) where practical in how we collect, use, store and share personal information.
2. What personal information we collect
We only collect what we need to quote, do and invoice the work. This may include:
- Contact details: your name, phone number, email address and postal address.
- Property and job details: the property address or lot and plan, site access, what the water is for, details of existing bores, site photos and anything else you tell us about the job.
- Bore Report details: the property you are looking at and the details needed to prepare and send your report.
- Billing details: invoices, payments and payment status. Card payments are processed by Stripe through ServiceM8 (see below); we do not see or store your full card number.
- Communications: emails, messages and notes of phone calls with us.
- Website information: basic technical information collected when you visit our website (see section 8).
We don't ask for sensitive information (such as health information). If you contact us anonymously or with a pseudonym we will help where we can, but we usually need your name and contact details to quote or do the work.
3. How we collect it
- When you request a quote or booking through our online booking form, which is provided by ServiceM8.
- When you phone, email or message us, or meet us on site.
- When you order a Pre-Purchase Bore Report.
- When you pay an invoice.
- From publicly available sources where relevant to your job, such as Queensland Government groundwater and bore records.
4. How we use it
We use your personal information to:
- respond to your enquiry and prepare quotes;
- schedule, carry out and supervise the work, and keep job records;
- prepare and send Pre-Purchase Bore Reports;
- invoice you and process payments;
- meet our legal obligations, for example completing and lodging the drilling log for each bore with the Queensland Government, and keeping tax and business records;
- contact you about your job, and improve our service.
We don't sell your personal information. We won't send you marketing unless you have agreed, and you can opt out at any time.
5. Who we share it with
We only share personal information where it is needed for the purposes above, with:
- ServiceM8, our job management and online booking system, which holds quotes, bookings, job records and invoices;
- Stripe, which processes card payments made through ServiceM8;
- Google Workspace, for our email and documents;
- Dropbox, for file storage, such as job photos and records;
- Xero, our accounting and invoicing software;
- Kinsta, which hosts our website;
- Google Analytics, which tells us how people use our website (see section 8);
- Queensland Government agencies where the law requires it, such as bore and drilling records;
- our professional advisers (such as our accountant or lawyer), and anyone else where you have agreed or the law requires or allows it.
These providers may only use your information to provide their service to us.
6. Overseas storage
Some of our service providers (including Google, Dropbox, Xero, ServiceM8, Stripe and Kinsta) may store or process information outside Australia, for example in the United States. Where this happens we rely on reputable providers with strong security, and we take reasonable steps to make sure your information is protected.
7. How we store and protect it
We store personal information electronically in our business systems and, in some cases, on paper at our office. We use password-protected accounts, limit access to people who need it, and keep systems up to date. We keep records for as long as we need them for the work and to meet legal and tax requirements, then delete or destroy them securely.
If a data breach is likely to cause you serious harm, we will act quickly to contain it and let you know, so you can take steps to protect yourself.
8. Our website, cookies and email
Our website uses cookies, which are small files stored by your browser. Some cookies are needed for the site to work. We also use Google Analytics to understand how visitors use the site, for example which pages are viewed and how people find us. Google Analytics uses cookies to collect information such as your browser and device type, pages visited, approximate location (based on your IP address) and how long you stay. We use this information in summary form to improve the website, not to identify you.
You can opt out of Google Analytics by installing the Google Analytics opt-out browser add-on. You can also set your browser to block or delete cookies, but some parts of the site may not work properly. More information about how Google uses data is at policies.google.com.
Our website links to other sites, such as our booking form (ServiceM8), Facebook and Instagram. Their own privacy policies apply when you use them.
Email is not always secure. Please don't send card details or other financial information by email.
9. Accessing and correcting your information
You can ask for a copy of the personal information we hold about you, or ask us to correct it, by contacting the office. We will respond within a reasonable time (usually within 30 days). If we can't give you access or make a correction, we will tell you why in writing.
10. Complaints
If you have a concern about how we have handled your personal information, please contact us first using the details below. We will look into it and reply in writing, usually within 30 days.
General information about privacy rights in Australia is available from the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au. Because this is a voluntary policy, the OAIC may not be able to deal with a complaint about us, so please raise any concern with us directly and we will do our best to resolve it.
